Frederick Interpreting Agency, LLC ("Company," "we," "us," or "our") operates the Interpretation Management Platform ("IMP" or "Platform"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Platform.

While we strive to protect your information, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.

6. Healthcare Data and HIPAA

IMP runs on infrastructure that supports HIPAA-eligible configurations, including encryption in transit and at rest, access controls, and audit logging. We do not currently claim HIPAA compliance, and no Business Associate Agreement is in place by default.

Agencies that intend to handle Protected Health Information through IMP must execute a Business Associate Agreement with us first. Until one is executed, agencies should not enter PHI into the Platform. AI features, including automated speech translation and AI intake, are outside the scope of any such agreement unless separately confirmed in writing.

7. Data Retention

We retain your information for as long as your account is active or as needed to provide services. Job records and financial data may be retained for longer periods as required by law or for legitimate business purposes such as tax reporting and auditing.

8. Your Data and Account Deletion

Accounts on the Interpretation Management Platform are created and managed by the interpreting agency you work with or book through. You cannot create an account yourself, and your agency controls access to it.

How to request deletion

To have your account and associated personal data deleted, contact your agency administrator, or email [email protected] from the address associated with your account. Include your name and the name of your agency. Requests are actioned within 30 days.

What is deleted

On request we delete your profile information (name, email address, phone number, mailing address), your availability records, your notification and device tokens, and your login credentials. Once deleted, you can no longer sign in.

What is kept, and for how long

Records of completed interpreting assignments, invoices, and payment history are retained by your agency as business and tax records, as required by law. These are held by the agency as the data controller, typically for seven years, and are retained in a form that identifies the assignment rather than your account. If you need these records removed, that request must be directed to your agency, which decides in line with its own legal obligations.

Notification data

Push notification tokens are removed as soon as you sign out, uninstall the app, or turn off notifications, and are deleted automatically when they expire.

10. Children's Privacy

IMP is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If we learn we have collected information from a child under 18, we will take steps to delete that information.

IMP may contain links to third-party websites and integrates with third-party services (QuickBooks, Stripe, mapping services, etc.). We are not responsible for the privacy practices of these third parties. We encourage you to review their privacy policies.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated revision date. Your continued use of the Platform after changes constitutes acceptance of the updated policy.
